The traveler obtains an internet fare quote with travel dates, flight times,
carrier, flight numbers, and all ticketing costs. To obtain this quote, the traveler
would book – but not complete – the transaction on the internet.

The traveler provides the quote to an approved travel agency to see if the
agency can meet or beat the internet price. If the agency cannot meet or beat
the internet price, the traveler can proceed with the internet purchase. The
traveler will subsequently need to reference the travel agency name and fare
quote on the Travel Voucher.
- If you are using a comparison quote for airfare the quote must be from the same day that the tickets are purchased.

The traveler personally purchases the internet ticket
using his or her individual State Travel Card (US Bank VISA). The traveler
accepts full responsibility for changes or cancellations to the internet ticket
in accordance with the restrictions for that specific ticket and internet site.

The traveler will not be reimbursed for the internet ticket charge until after
he or she has returned from the trip.

If your University business trip involves airline travel, please note that most carriers place new emphasis on abiding by stated check-in times. This means that your late arrival at an airport may translate to being bumped from your scheduled flight. Further, if you miss a flight due to late check-in, you may be liable for additional ticket costs. We encourage you to verify, and follow, your individual airline check-in requirements.

- Many airlines are now charging travelers additional baggage fees. A receipt is required if the baggage charges are over $25.00 Note: regardless of the method used to check the bags (at the counter, at the gate, at the curb, on-line, etc.), a receipt can be obtained. To be reimbursed for additional bag charges or excessive weight charges, be sure to include a valid business purpose in the "Explanation" section of the Travel Voucher form.
- New TSA Rules are going into effect:
For domestic flights as of May 15, 2009, domestic aircraft operators must collect the traveler’s full name. As of August 15, 2009, the traveler’s gender and date of birth must also be obtained.
For international flights as of October 31, 2009, the traveler’s full name, gender, and date of birth will be required.
- In the near future, small differences between the passenger’s ID
and the passenger’s reservation should not cause problems. Over
time, however, the name on a traveler’s ID must match that on the
travel documents. Travelers whose reservations do not contain full
information will not be permitted to check in online or at airport
kiosks, but must instead stand in line to see a ticket agent. Addi-
tional airport security screening and/or denied boarding may
result.
